Complaint raised for a bad service.letter to officeLegal noticedefamation case Complaint raised for a bad service.letter to officeLegal noticedefamation case

raised a complaint on behalf of my father on ECHS Giddalur Office on 1 medical reimbursement issue (to generic email ID's I got from google) from using my office email id (Forgot to send from personal mail by mistake). Now a director from those generic email ID’s sent an email asking another director to start the investigation on ECHS Giddalur office Now This Head of ECHS Giddalur office has taken the address of my office from email ID and sent a strong letter to my boss. In this letter, they have explained the full case details in favourable to them to my company and asked my company to provide a positive response before they send a legal notice and defame case against me. Points I need to understand

1. Can they send a legal notice followed by defamation case for a complaint raised on a particular issue which my father personally suffered? Do they have the right to do so? If yes, on what grounds? In my email, I have not used the word harassment but in his letter to my company, he was talking about that we were talking about harassment. Since my father suffered a lot the only word I used is Gross negligence from ECHS Giddalur office.
2. These guys didn’t respond to my email sent from office email but posted a letter to my office head. Can they do so?
3. From the letter what I understand is, He assumed something about my case and he felt guilty so in order to take that revenge, he is performing this drama. In case if they don’t understand my complaint or if my complaint doesn’t have full information, they should have responded asking me to provide the full details for further investigation. But instead, they posted a signed letter to my office which made me so embarrassed in front of my colleagues and boss. In this case, can I file a defamation case against him? Without discussing the facts with me, how can they send that letter to my office?

Also please help me what course of action do I need to take if at all they send any legal notice to me and my company? I can sends all the documents if you require.
